How We Produce a Show  

The process of putting together a Pittsford Musicals show involves a great deal fo time and many people working together. Pittsford Musicals board members and their dedicated committees work throughout the year to bring the elements of a show together. The board meets once a month and committees meet as needed to make sure that each fall we produce a quality theatrical production for our audience.

Here is a basic timeline of the process:

January

  • Annual Meeting in which our new Board members are elected.
  • At the first Board meeting our new officers are elected.  
  • The following committees are organized:  
  • Show Selection, Director Search, Scholarship Committee, Publicity, and Membership.
  • We start to put together the Production List of committee chair people and production staff.
February
  • Budget committee is formed.  
  • Show dates are verified.  
  • Committee heads give their first reports.
  • The Production List continues to be filled.
March
  • Show is selected.  
  • Director Search reports on progress.
  • The show logo is started.  
  • The Production List continues to be filled.
April
  • Budget Committee reports progress.  
  • Directors are selected.
  • Schools who will receive scholarships are decided upon.
  • Stage Door goes out with show and director announcements.  
  • Publicity and Marketing committee plan is presented.
  • The Production List continues to be filled.
May
  • The Budget is approved.  
  • Membership (ticket sales/donors) committee meets.  
  • Publicity report is given.
  • Scholarship recipients decided upon.  
  • School liaison confirms rehearsal schedule.
June
  • Scholarships announced and presented to winners.  
  • First production meeting.  Scripts given to Directors.
  • Publicity announces scholarships awarded.  
  • Audition committee formed.  Audition hotline updated.
July
  • Membership committee prepares special donor and “groups” letters.  
  • Audition posters printed.  T-shirt designed.
  • Plan Red Wing Game and WXXI telethon outings.
August
  • Stage Door announces auditions and Scholarship winners.  
  • Audition posters out.  Audition materials ready.  
  • Special donor and “groups” letters sent out.  
  • Red Wing Game and WXXI telethon.  
  • Nominating Committee formed.
  • Cast photographer chosen.
September
  • Auditions are held.  Board members call cast.  Thank you letters sent to those not cast.  
  • Prepare read-through folders.  
  • Read through.  Scripts passed out.  Production Staff introduced.  
  • Plan social events.  
  • Publicity and Marketing reports progress.
  • Cast photos taken.
  • Videographer is chosen.
October
  • Show posters go out.  Box Office opens.
  • Production Sunday committee formed.
  • Party planning continues.
  • “Move in” dates for sets confirmed.
November
  • Nominees for Board election confirmed.
  • Production Week and Performances.  Strike set.
  • Cast Parties.
December
  • Stage Door goes out with Board candidate bios.
  • Board meets to review production and year.
  • Caroling Party.
  • Annual meeting notice goes in the Brighton-Pittsford Post.
